Job Purpose
The Job Holder: Coordinate IT division activities and operations to secure efficiency and compliance to company policies
Key Accountabilities (1)
1. IT Procurement Management
- Consolidate and manage IT procurement demands from various IT teams and stakeholders.
- Develop and maintain annual procurement plans for IT infrastructure, hardware, software, cloud services, and technology-related projects.
- Coordinate procurement activities including sourcing, request for quotation (RFQ), request for proposal (RFP), vendor evaluation, negotiation, contracting, and purchase order execution.
- Collaborate with Centralized Procurement, Finance, and business units to ensure procurement activities are aligned with company policies and budget plans.
- Monitor procurement lifecycle from request initiation to delivery, acceptance, and payment completion.
- Maintain procurement documentation, contracts, and purchasing records.
- Establish and maintain relationships with strategic technology partners and service providers.
- Manage vendor performance through Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and periodic reviews.
- Evaluate vendors' technical capabilities, pricing competitiveness, delivery performance, and contractual compliance.
- Support contract negotiations, renewals, software licensing agreements, and maintenance agreements.
- Identify opportunities for cost optimization and service improvement through strategic vendor partnerships.

2. IT Budget and Cost Management
- Support the planning, consolidation, and monitoring of the IT budget.
- Track IT spending against approved budgets and provide regular financial reports.
- Coordinate with IT teams and Finance to forecast future technology investments and spending requirements.
- Analyze procurement and operational costs and recommend cost-saving initiatives.
- Ensure effective utilization of IT resources while maintaining operational requirements.
3. IT Administration and Governance
- Coordinate administrative activities and operational reporting within the IT Division.
- Monitor and report progress of IT initiatives, operational tasks, and strategic action plans.
- Support the development, implementation, and maintenance of IT policies, procedures, and governance frameworks.
- Maintain records related to IT assets, contracts, licenses, and administrative documents.
- Facilitate communication and coordination among IT teams and cross-functional stakeholders.

4. Reporting and Performance Management
- Develop and maintain procurement, vendor, budget, and operational performance reports.
- Track procurement KPIs, vendor performance metrics, budget utilization, and asset management indicators.
- Prepare management reports and recommendations for continuous improvement.
- Support data-driven decision-making through analysis and reporting.

Success Profile - Qualification and Experiences
Qualification:
- Bachelor's degree or higher in IT, Business Administration, Finance, Supply Chain, or related disciplines.
- Minimum 3 years of experience in IT procurement, vendor management, IT administration, IT asset management, budget control, or centralized procurement.
- Strong understanding of IT infrastructure procurement, including servers, storage, network, security, cloud, software licensing, and data center solutions.
