Executive Assistant to the CEO
Job Purpose
The job holder serves as the primary point of contact for internal and external parties on all matters pertaining to the CEO Office and provides high level and confidential support to the administration of the CEO Office. This role is crucial in ensuring the efficient operation of the CEO Office and facilitating the successful execution of key initiatives/assignment. This role will act as a liaison between the CEO and various internal and external stakeholders, manage complex situation to support the CEO to deliver strategic goal of the organization.
Key Accountabilities (1)
Executive Management Support
1. Support to the CEO
- Work closely with the CEO to keep informed of upcoming commitments and responsibilities.
- Consult all documentations/reports submitted to the CEO and other parties.
- Advise the CEO on appropriate handling of matters across the organization.
- Supervise the implementation of decisions, directives and tasks assigned by the CEO.
- Coordinate across Divisions, Committees and Councils in organizing meetings, preparing documents and meeting minutes.
- Assist the CEO in internal and external relations by following up on contacts made by the CEO to cultivate ongoing relationships.
- Adhere to compliance and applicable rules and regulations set in by-laws regarding Board matters.
- Coordinate all senior leadership team meetings and assist with preparation required.
- Provide corporate level event management support as required.
2. Assignment & Project Coordination
- Monitor the progress and quality of project, especially strategic initiative, special projects, ensuring that goals are met on time and with quality.
- Collaborate with relevant units to resolve issues arising during assignment/project execution.
- Prioritize inquiries and requests while troubleshooting conflicts.
Key Accountabilities (2)
Provide comprehensive administrative support to the CEO, including managing schedules, organizing meetings, preparing travel arrangements, and drafting documents, reports, and correspondence.
- Maintain and update the CEO’s calendar to ensure timely coordination of meetings, appointments, and important events.
- Take meeting minutes, monitor action items, and follow up with relevant stakeholders to ensure timely execution of assigned tasks.
- Act as a liaison between the CEO and internal departments or external partners to ensure smooth communication and coordination.
- Prepare presentations, reports, and speech notes as required by the CEO.
- Handle confidential information with discretion and professionalism.
- Perform other administrative duties and ad-hoc tasks as assigned by the CEO.
Success Profile - Qualification and Experiences
Qualification & Professional Experience:
- A Bachelor's degree or higher in Finance, Banking, Business Administration or required discipline
- At least 10 years of relevant working experience providing executive management support or project coordination role.
- Experience in banking operations, credit and risk management, capital management, finance and accounting or IT management is preferred.
- High degree of professionalism in dealing with diverse groups of people (Board members, senior executives, staff, community leaders, donors, partners)
- Strong organization skills and attention to detail
- Excellent verbal and written communication skills, time management
- Ability to complete tasks and projects with little or no guidance.
- Ability to react with appropriate sense of urgency to situations and events that require quick response.
- Strong analytical and problem-solving skills
- Ability to maintain a high level of integrity and discretion in handling confidential information.
- Business English standard of proficiency as required for the role
